A date-of-birth discrepancy becomes a major obstacle when applying for passport, overseas visa, US immigration, employment verification or other official services.
- Birth Certificate: 12 March 1985
- School Leaving Certificate: 13 March 1985
- Aadhaar: 12 March 1986
- Passport: 13 March 1985
Many believe one document can simply be changed to match others. In practice, each issuing authority has its own correction procedure.
First objective: Establish correct date of birth using reliable historical evidence, not most convenient date.
- Hospital recording errors
- Delayed school admission - Parents gave estimated date at admission
- Clerical errors - Digit transposition
- Calendar conversion - Local calendar vs Gregorian
- Family recollection mismatch
- Later document changes - Person corrected one document without updating others
Original birth-registration entry is important evidence, but if that entry itself has error, you must prove correct facts through reliable evidence.
- Original hospital birth register / Delivery records
- Maternity discharge summary
- Government health / Immunization records
- Original school admission register - created closest to birth
- Historical family records
- Parents' contemporaneous documents
Important: UIDAI has clarified Aadhaar is identity document, not proof of DOB by itself. Do not treat Aadhaar as conclusive.
Section 15 of Registration of Births and Deaths Act, 1969 provides for correction or cancellation of entries, subject to State Rules.
A. Clerical or Formal Errors: Typographical mistake, incorrect spelling, transposed digits, minor recording error. Requires limited evidence.
B. Errors involving substantive facts: Different recorded date of birth, incorrect parent particulars, material discrepancies. Requires extensive documentary evidence and declarations from persons who know facts.
A material DOB change - e.g., 1985 vs 1986 - cannot be treated as minor spelling correction.
Step 1: Prepare DOB Comparison Sheet - List all documents and date in each
Step 2: Identify Original Source - Where birth occurred and which authority maintains register
Step 3: Obtain Original Register Extract - Do not rely only on old photocopy if underlying record needs verification
Step 4: Collect Supporting Evidence - Hospital record or other contemporaneous documents
Step 5: Determine Correct Statutory Procedure - Is it clerical error, substantive correction or later DOB change?
Step 6: Submit Correction Application to competent Registrar using State form
Step 7: Update Other Documents Separately - Once correction accepted, approach UIDAI, Passport Seva, school board separately
Do not select whichever date is convenient for immigration.
- Which record was created closest to birth?
- Whether original record was later altered?
- Is discrepancy clerical mistake or genuine factual conflict?
- Whether additional verification or competent court's intervention is required as per State Rules?
1. Submitting different DOB documents without explaining mismatch
2. Changing DOB in Aadhaar/Passport before resolving underlying birth register
3. Treating affidavit alone as automatic proof
4. Approaching present residential municipality instead of original Registrar
5. Requesting fresh registration when existing entry already exists
6. Using inconsistent dates across application forms
Q1. Can DOB be corrected after 20 years?
There is no blanket prohibition based only on age of record. State Rules, nature of error and evidence determine procedure.
Q2. Can Aadhaar be used to correct birth certificate?
It may support identity verification, but does not independently prove birth register entry is wrong.
Q3. Can passport date be corrected using birth certificate?
Passport authority may consider valid birth certificate under its policy. Passport correction is separate process.
Q4. Can affidavit alone correct DOB?
Not necessarily. Registrar may require primary evidence and further verification.
Q5. What if all documents show different DOBs?
Complete documentary review required before choosing correction route.
DOB discrepancies require structured evidence-based approach. Objective is not to make all documents identical, but to ensure corrected particulars reflect legally established facts.
