A prospective tenant may be ready to view a property, but the key is with a neighbour. The owner is overseas. The building contact is unavailable. The viewing is postponed.
One failed visit does not establish that a property will remain vacant. Repeated access problems, however, can make the leasing process harder than necessary.
Key management deserves a defined procedure—particularly when the owner does not live near the property.
Record who holds the keys, how they can be contacted and who is authorised to arrange access.
Agree on a booking process, confirmation deadline and procedure for cancellations. Avoid sending visitors to the property without confirmed access.
Record the date, time, purpose, person coordinating the visit and whether access was completed. Limit personal information to what is reasonably necessary.
Keys should not be passed informally to unknown persons. Use controlled handovers and return procedures, and do not disclose security codes or access details more widely than necessary.
Establish a contact procedure if the keyholder is unavailable or a property issue is discovered during a visit. The owner should know whom to contact and what action is authorised.
Consider a hypothetical property advertised at ₹30,000 per month. If access problems contribute to an additional month of vacancy, the potential gross rent forgone is ₹30,000.
This is an illustration, not proof that a failed viewing causes a month of vacancy. A missed appointment may have no material effect if another tenant proceeds promptly. The point is that avoidable operational delays should be monitored rather than ignored.
Holding a key does not automatically authorise someone to approve a tenant, negotiate final terms, accept money or sign documents on the owner's behalf. Those responsibilities should be expressly agreed and handled in accordance with applicable law.
For vacant properties, owners should also consider appropriate security, insurance requirements and the risk of unauthorised entry.
